RFQ preparation for calibration labs
More quoting.
Less rekeying.
Send the equipment list. Get a draft quote worksheet with normalized line items, source references and unresolved questions ready for your team to review.
Discuss a pilotAn extra pair of hands
at the quote desk.
Collect the request.
Start with one incoming RFQ format and a redacted example. Agree on the fields your quote desk needs.
Prepare the worksheet.
Normalize instrument names and quantities, retain the customer’s wording and flag missing specifications. Map to your service list where the match is supported.
Have your staff approve it.
Your team decides scope, accreditation, price and turnaround. Export the reviewed worksheet to your current quoting process.
Your lab keeps the technical authority.
We prepare the draft and expose uncertainty. Your staff controls the final quote. The pilot begins with worksheets, so you can evaluate the work before deciding whether deeper LIMS or email integration is useful.

$750 two-week preparation pilot
Up to 20 RFQs or 200 line items during two weeks, in one agreed input format and your worksheet. Begin with one completed example to confirm the preparation rules, then prepare current requests on an agreed schedule. Includes one review call and one correction pass.
Scope, document handling and delivery schedule are agreed before work starts. Your staff approves scope, accreditation, price, turnaround and every customer quote. Urgent turnaround and additional intake require a separate agreement.
We already have quoting software.
The pilot tests preparation work upstream of that system. If your existing software handles the intake well, there may be little reason to add another service.
Can we share regulated or sensitive files?
Start with a redacted example. We agree on appropriate document handling before receiving operational files. The initial pilot excludes controlled or regulated content requiring special infrastructure.
Synthetic example. Staff determines technical scope, service eligibility and price.
